In this article, you will learn:

  • Setting up an external member grouping

Set up an external member grouping to grant access to people or stakeholders who are not part of your organisation but need to be involved in your team's virtual workspace.

Let’s get started!

Setting up an external member grouping

1. Log in to VirtualSpace

Visit the VirtualSpace web app app.virtualspace.ai and log in to your VirtualSpace account. If you don't have an account, sign up for one and create your virtual workspace.

2. Click on the "Spaces" menu

Once you are logged in, click on the "Spaces" menu on the left sidebar. This will take you to the Spaces page where you can manage your team's virtual workspace.

3. Click on the “External Member”

On the Spaces page, click on the "External Member" tab. This tab allows you to manage external members who are not part of your organisation but need access to your virtual workspace.

4. Click on the "Add Group" button

To create an external member grouping, click on the "Add Group" button on the External Member page. This will open a dialogue box where you can enter the details of the group you want to create.

5. Name the group

In the dialogue box, enter a name for the group you want to create. The name should be descriptive and relevant to the purpose of the group, so it is easier for team members to identify its purpose.

6. Add external members

After naming the group, add external members to it by selecting them from a list. You can add as many members as you want, depending on the size of the team.

7. Click on the “Create” button

Click on the "Create" button to create the external member grouping. This will automatically create a dedicated virtual workspace for the group, where members can communicate and collaborate.

8. Enable 1v1 chat

Once the external member grouping is created, enable 1v1 chat for external members to facilitate efficient and focused communication among team members.

This feature is particularly useful when you need to match external members for specific tasks or projects. External members can initiate one-on-one chats and create channels with fellow external members, allowing them to group together more effectively.
